Functions and Duties of Admission and Records Department
Admitting and registering students according to the Admission Policy.
Preparing a file for every student, which includes the admission requirements’ documents.
Filling of academic record in terms of formal letters issued to the students over the period programme before graduation.
Archiving the students file after ten years.
Orienting the students (one week) to interact with all the other departments of the University.
Verification of the students’ records.
Preparing for matriculation and code of conducts form.
Checking and auditing files of admitted students.
Preparing timetable in coordination with the HoDs.
Preparing all necessary arrangements for registration of students and courses.
Monitoring academic load for students in accordance with the instructions, and follow-up add-and-drop processes.
Preparing and issuance of the final examinations, academic calendar for students and distribute among all parties concerned.
Preparation of the Academic Division Board (ADB) meetings after Schools’ Board meetings and presentation of the meetings deliberations to Senate Board.
Announcing academic results after adoption from Departments and Faculty Councils.
Following up on matters related to Exemptions/transfer students from other universities; application of challenges and special exams.
Preparing lists of on-probation, discontinued students, and inform them of their academic positions.
Preparing lists of Deans’ Students and preparing certificates for them.
Announcing for potential graduands to apply in the online system.
Assisting in registration process with all the non-calculated grades only.
Auditing the potential graduands transcripts to make sure they adhere to programme requirement for graduation.
Manage all departments’ inquiries.
Following up on uploading of new/or reviewed programme and monitoring the execution of the same.
Preparing statistics and reports needed inside and outside the University for Admission, registration, grades, and graduation.
Preparation and issuing of graduation certificates and transcripts.
Confirm the preparing of pamphlets and brochures related to admission to the University.
Audit the website on Admission and Records Department.
Issuance of students IDs.
Coordinate matters of special students (One semester programme).
Requisition of Departments’ materials and needs.
Review Department’s policies (Admissions, Registration, and Examination) every five years.
Collaborate with Departments and Schools to review the University Catalogue in the five-year calendar.
Coordinate shredding and recycling of Department’s materials (Examination scripts and department’s papers).
Coordinate with Departments and Schools on Course planners.
Process letters (Introduction, grade equation, verifications and any other such letter from the Department).
